numoment Inc. ("we", "us", or "our") establishes this Privacy Policy regarding the handling of personal information of customers using "Stand" (the "Service"). We comply with the Act on the Protection of Personal Information of Japan and other applicable laws, and handle your personal information appropriately.
1. Definition of personal information
In this Policy, "personal information" refers to information about a living individual as defined in Article 2, Paragraph 1 of the Act on the Protection of Personal Information of Japan — that is, information by which a specific individual can be identified through name, date of birth, or other descriptions, or which contains personal identification codes.
2. Information we collect
We may collect the following information in providing the Service. - Account information (name, email address, organization name, phone number) - Authentication identifiers (from one-time magic link sent by email, or from external OAuth authentication providers) - Payment information (processed via a third-party payment-processing service; card numbers are not stored on our servers) - Service usage data (feature usage history, error logs, IP addresses, cookies, device information) - Information you provide via inquiry / materials-download forms (company name, name, email, phone, message) - Sales-meeting audio, transcripts of that audio, and AI-generated outputs such as suggestions and summaries The processing flow for sales-meeting audio and transcripts is described in Section 6 "Use of external services for AI features."
3. Purposes of use
We use the personal information we collect for the following purposes: - Providing, operating, maintaining, and improving the Service - User identification and processing of fees and payments - Responding to inquiries, support requests, and other communications - Sending important notices about the Service, new features, and campaigns - Analyzing usage to develop new features and services - Responding to violations of the Terms of Service - Other activities incidental to the above
4. Disclosure to third parties
Except in the following cases, we will not disclose your personal information to third parties without your consent: - When required by law - When necessary to protect a person's life, body, or property and it is difficult to obtain consent - When particularly necessary for improving public health or promoting child welfare and it is difficult to obtain consent - When cooperating with national or local government entities in executing legally mandated affairs
5. Service providers
We may entrust the handling of personal information, in whole or in part, to service providers in the following categories (including cloud-service providers) to the extent necessary for fulfilling the purposes of use. We ensure proper handling by such providers through appropriate contracts and other measures. - Cloud infrastructure and hosting providers - Database and authentication-backend providers - Payment-processing providers - Customer relationship management (CRM) platform providers - Internal notification and communication tool providers - External OAuth authentication providers (when used) Some of these providers are located outside Japan (primarily in the United States), and personal information may be transferred internationally. The specific names of individual providers will be disclosed upon reasonable request to our contact channel. External services used for AI features are described in the following section.
6. Use of external services for AI features
Our desktop application (the "App") uses external services in the following categories to provide real-time assistance during sales meetings. The handling of personal information and content by these services is also governed by their respective privacy policies and terms of service. - Web-conference joining and audio-capture service (overseas provider) - Speech-recognition and transcription service (overseas provider) - AI language model (generative AI) service (overseas provider) The above processing occurs only during meeting sessions where recording and analysis have been started with your consent, and only to the extent necessary to provide the feature. We obtain the resulting outputs (suggestions, summaries, etc.) and transcript content to the extent necessary for state management, but we will not use such data beyond the business purpose or provide it to third parties without your consent. Recording conversations without the consent of meeting counterparts is prohibited under the Terms of Service.
7. Personal information of meeting counterparts and other third parties
The Service includes features that record, transcribe, and analyze conversations during meetings in which the User participates. Statements and other audio/text information of meeting counterparts and other third parties ("Counterparts") may constitute personal information. The User is responsible for obtaining, in advance and at the User's own responsibility, any consent required under applicable laws and the User's environment (internal policies, customer contracts, etc.) for the recording, transcription, transmission to external services such as AI language models, and analysis to be performed by the Service. We handle personal information of Counterparts obtained under the User's control in accordance with this Policy and the Terms of Service, only to the extent necessary to provide the Service and support the User. Counterparts may submit requests regarding disclosure, correction, suspension of use, or deletion of their own audio/statement data to either the User or our contact channel. We will respond in cooperation with the User in accordance with applicable laws.
8. Retention and deletion of personal information
We retain personal information only for the period necessary to fulfill the purposes of use. Specific retention periods are determined based on data type, statutory retention obligations, and contractual necessity. Meeting audio, transcripts, and AI-generated outputs (suggestions, summaries, etc.) may be stored in local storage on the User's device. Management of data in that local area is the User's responsibility. You may request deletion of your information held by us via our contact channel. After termination of the Service Agreement, we will delete or anonymize User information within a reasonable period, except where retention is required by law or necessary for our legitimate interests.
9. Security measures and incident response
We implement the following measures to prevent the leakage, loss, or damage of personal information: - Training of personnel handling personal information - Minimizing access privileges and preserving authentication logs - Encryption of data in transit and at rest (TLS, encryption at rest) - Regular security audits and vulnerability assessments - Periodic review of subcontractors' handling practices In the event of leakage, loss, damage, or other incidents involving personal information (including events that fall under "leakage etc." as defined by the Act on the Protection of Personal Information), we will, within a reasonable period and in accordance with applicable laws, report to the Personal Information Protection Commission and notify affected individuals.
10. Use of cookies
The Service uses cookies and similar technologies (local storage, web beacons, etc.) for purposes including improving usability, analyzing usage, and preventing unauthorized access. You may refuse cookies through browser settings, but some features of the Service may become unavailable.
11. Disclosure, correction, and suspension requests
You may request disclosure, correction, addition, deletion, suspension of use, or suspension of third-party provision of your personal information held by us. Please contact the inquiry channel at the end of this Policy. We will respond within a reasonable period in accordance with applicable laws.
12. Personal information of minors
The Service is primarily intended for businesses and individuals aged 18 or older. Minors may use the Service only with the consent of a parent or legal guardian.
13. Changes to this Policy
We may revise this Policy due to changes in laws, service content, or other reasons. The revised Policy takes effect when posted on this website. For material changes, we will notify users by reasonable means.
